The Executive Assistant to the VP of the Wilton Factory will be the ultimate professional. Polished and detail oriented, this person will possess sound judgment, with the ability to multi-task and meet deadlines, be relationship oriented and approachable, have high integrity, diligent, and have the ability to handle highly confidential information.

Job Description

Responsibilities:

  • Manages the calendar of the Vice President.
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside companies.
  • Act as a liaison, problem solver, and facilitator for the VP and senior leaders.
  • Work with sector stakeholders to arrange business meetings, luncheons, dinners, etc.
  • Manage all Staff, Quarterly, and Offsite meetings which can include logistics, agenda/materials, onsite support and event management.
  • Coordinates International and domestic travel, visa applications, passport changes, ground transportation and hotel accommodations for Wilton Factory Staff.
  • Maintains confidentiality of all corporate, personnel and research matters.
  • Independently manages multiple projects and determine priorities in a rapidly changing stimulating environment.
  • Assist planning of program/team celebrations/anniversaries/events.
  • Coordination and alignment with offices in the Netherlands and Asia.
  • Performs all responsibilities with a high degree of discretion and initiative.

Education

Associates degree or equivalent experience.

Experience

  • Bachelors highly preferred.
  • Typically requires a minimum 5 years of administrative experience supporting senior leaders in a global, public company.
  • Discretion combined with poise and professionalism in all communications.
  • Demonstrated strength in multi-tasking and prioritizing work with a strong attention to detail.
  • Excellent planning, organizational and written and verbal communication skills.
  • Advanced proficiency in Microsoft Office.
  • Excellent writing skills
  • Must be proactive and solution oriented, looking for ways to add value and assist the team.
  • A positive "can do" attitude and sense of humor are essential.

  • Routinely required to sit; walk; talk; hear; use hands to keyboard, finger, handle, and feel; stoop, kneel, crouch, twist, reach, and stretch. Occasionally required to move around the campus.

  • May require travel dependent on business needs.
  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Role within the Factory

Responsibilities:

  • Must be willing to work in a clean room environment, wearing coveralls, hoods, booties, safety glasses and gloves for entire duration of shift.
  • While performing the duties of this job, the employee routinely is required to sit; walk; talk; hear; use hands to keyboard, finger, handle, and feel; stoop, kneel, crouch, twist, reach, and stretch.
  • The employee may occasionally lift and/or move up to 50 pounds.
  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Can work under deadlines.
  • The environment generally is moderate in temperature with moderate to high noise level.
  • This must include references to day and night shifts for accommodation purposes.

  • The employee is occasionally required to move around the campus.

  • The environment generally is moderate in temperature and noise level.
