Introduction to the job

As a member of the Facilities Management team, you will be responsible to participate in facilities related project meetings, track action items and deliverables for various activities, coordinate small capital and non-capital projects at the Silicon Valley campus, and identify improvement opportunities and present options and project plans to the organization leadership. Additionally, you will maintain and organize project related documentation including schedules, RFIs, projects and tasks on schedule and budget, and assist in the planning of preventative maintenance, repair and work order activities as needed.

Role and responsibilities

As a Facilities Project Coordinator:

  • Manages and coordinates administrative procedures and systems that supports FM goals and objectives
  • Works/Manages with FM supply chain:
    • New vendor setups
    • Maintain supplier database and requirements
      • Contacts
      • Compliance documentation- COI, SLA, NDA, EHS
    • Manage vendor folders for proper documentation that support the team.
  • Procurement
    • Request and review quotes
    • Input requests for quotes and work with partners and approvers for timely execution.
    • Managing and Maintain reports for the team showing current status on
    • Works with a variety of project management and spreadsheet software to maintain project timeline and track resource allocation, performance metrics and other project related information.
  • Vendor relations
    • Filter questions from supplies to support their needs
    • Help support timely invoice and proper backup to ensure expenditures to stay incompliance with budgetary forecasts and guidelines.
    • Helping in scheduling PM and following up on completed work orders and permits.
  • Management , Input, and Review Occupancy Reports
  • Communicates with Facility Management team as necessary to monitor and ensure timely completion of Project deliverables.
    • Assists with communication of project status and other information as necessary.
    • Support in execution of FM work order tickets for internal stakeholders.
  • May perform other duties as assigned.
  • Able to participate in cross functional global organization

Education and experience

  • Associates degree (Business Administration, or related field) required or equivalent experience.
  • 5-7 years of work experience in on procurement, invoicing, supplier management, and project tracking.
  • Basic project management and process development knowledge.
  • Experienced with using applications Outlook, PowerPoint and Team
  • Experienced with moderate level of Excel- formatting, filters, conditional formatting, and basic equations.
  • Excellent communicator, being able to influence without hierarchical power, and creative in managing a large and diverse range of stakeholders.
  • Strong team leadership skills, decisiveness, setting priorities, giving direction, influencing without power.
  • Maintains personal effectiveness and people focus under pressure, high speed of change and uncertainty.
  • Ability to guide, coach and advise at all organizational levels and with the supply chain.
