The MSO team is organized in one central department consisting of around 150 management assistants , supporting over 400 senior leaders. You will be part of a creative, dynamic work environment with encouraging management assistants. We have multiple opportunities for junior, mid-level and senior candidates.
Role and responsibilities
As a management assistant you act as an ambassador for ASML and MSO, both internally & externally. You will assist the managers in an administrative & organized way, applying proactivity, initiative, discretion and confidentiality, to guarantee an effective and efficient execution of all management support activities. You are the linking pin between your managers, your colleagues and the various ASML departments and other stakeholders. You need to be able to communicate effectively with all stakeholders and identify issues which require action.
Your main responsibilities will be:
- Pro-active and independent agenda and e-mail management;
- Meeting preparation and participation;
- Facility services, e.g. floor management;
- Travel and expense arrangements;
- Projects, events and year planning;
- Pro-actively share information and provide feedback to others.
As a management assistant at ASML there are different levels and specializations that you could be hired for:
Junior Management Assistant: you have 1 to 3 years of experience as a management assistant (or a supportive role) or a strong motivation to become a junior management assistant. You are eager to learn, you dare to ask questions and you are not afraid to ask for help in time. The difference between a Medior MA and a Junior MA is that a junior MA does a lot of operational work.
Junior/Medior Management Assistant/Administrator: You have 2 to 4 years of experience in an admin or assistant role. Here you will have a mix of MA and administrative tasks like onboarding support. You can think of additional activities such as: advise and monitor on the mandatory documents for onboarding, reassignment and offboarding for employees.
Medior Management Assistant: you have at least 3 to 7 relevant experience as a Management Assistant or in a similar supporting role in an international environment. You’re able to work independently. A medior MA executes, does operational work but also makes things happen.
Senior Management Assistant: you have at least 7 to 10years of experience as a management assistant in an international environment You're the sparring partner for your colleagues at the secretariat. A senior MA initiates, solves problems and creates new ways of working.
Sr. Management Assistant/Coordinator: Next to the regular tasks of a senior MA you will also be responsible for coordinating a small group of Management Assistants. You coach new joiners and the team members in the operational day-to-day job. Together with other senior MA’s/ coordinator’s within the cluster you determine the dot on the horizon. You create a uniform way of working to keep the organization moving forward in a sustainable way and filter out the waste.
Education and experience
You have a completed bachelor (HBO) or an associate degree, including demonstrable and relevant work experience. You are able to communicate fluent in English (Dutch is a plus). Complex international calendar management, good knowledge of the office 365 package and ability to facilitate hybrid meetings and events is required. Experience working for multiple stakeholders is highly preferred.
You’re driven by a highly complex and ever changing environment. You are a finisher and get things done. You like to create (or follow) structure in a fast changing environment and keep the helicopter view in a hectic organization. Within ASML you will always have new challenges and new problems to solve. As a management assistant you will pro-actively identity and fulfill costumer’s needs and consistently achieve results even under tough circumstances.
