Introduction to the job
We are currently seeking a Contracts and Soft Service Manager (Facilities) to join our Facilities Management team in San Diego.The Contracts and Soft Service Manager will manage team of quality, contracts and financial analysists to support both hard and soft contracts ensure proper contract management and vendor performance.They will be responsible for full life cycle of the acquisition process and measurement of vendor performance. They will need to have knowledge of contract administration, procurement regulations, contract negotiations and Key Performance Indicators (KPIs).
Role and responsibilities
- Responsible for full life cycle acquisition planning including solicitation and administration of both simple and complex contracts from inception to close out including financial management and quality.
- Supports hard services (utility systems) and soft services (janitorial, café, pest, reception, copy center, landscaping, etc.).
- Coordinates with procurement, managers and technical competency engineers to write and lead acquisition strategy and selection process.
- Leads contract development, following procurement policies and procedures and writes Requests for Proposals (RFP).
- Leads contract negotiations and source selection.
- Responsible for vendor performance including establishment of KPIs, Service Level Agreements (SLAs) and monthly measurement of vendor performance.
- Proactively communicates issues and manages the solution paths.
- Effectively monitors project status, validation of work in progress and tracking of contractual deliverables.
- Performs reviews on key developments and drives necessary changes into the Facilities Planning Process or other applicable areas.
Education and experience
- Requires a Bachelor’s Degree or higher and 8+ years of relevant facilities experience, with 3+ years as a people manager and procurement specialist.
- Experience Experience utilizing SAP and Microsoft Office including Excel and Word.
- Technical knowledge in contract management, procurement, supply chain, negotiations and management of performance.
- Experience with Quarterly Business Reviews (QBR) and multiple contract types (LPTA, Cost Plus, T&M) desired.
