Role and responsibilities

As a Sales and Customer Support Administrator this person will support and be responsible for the following administrative duties and projects:

Forecasting:

  • Create Inquiries as needed.
  • Forecast inputs and update in SAP and BW (systems/ options).
  • Prepare forecast report for Business Leaders, Account Managers and CS Manager.

Quoting:

  • Able to investigate and provide price/lead time (primarily non-system).
  • Contacts MPS Order Desk to resolve issues with Web Portal.
  • Requests for booked Quotes to Order Management Desk (OMD) and follow-up (non-VPA).
  • Creates Option Quotes via CTL tool.
  • Create System Quotes via SAP.
  • Ensure quotes represent the details needed on the PO to more efficiently book the PO.

PO Booking:

  • Receives and reviews PO/LOI/Agreement to meet legal and finance’s requirement and submits for review/booking via CTL tool.
  • Tracking and reporting on UF Options PO status toward commercial sales, follow-up directly with customers if incorrect, incomplete, missing or overdue.

Delivery:

  • Tracking status of options and upgrade forecast vs delivery commitment by BL & CP.
  • Tracking status of commercial sales orders to committed delivery.
  • Follows up on back and delay orders, incorrect shipments and other deviations to avoid discrepancies in order to achieve zero defect delivery.
  • Facilitate return process, including evaluations (audit open RMAs, SAP return transacting).
  • Requests CS to submit request for UF option CM files for software delivery- depends on customer’s needs.

Acceptance:

  • Work with Customer Service team to send acceptance documents to customer as needed.

Payment:

  • Interfaces with account manager and US-AR on customer invoice issues.
  • Coordinate with Veldhoven A/R that invoicing is executed per the payment terms.
  • First-pass liaison between customer and A/R.

Evaluation Tracking:

  • Facilitate the evaluation administration process (order config files, monitor delivery and expiration dates, etc.) based on reporting from Finance.

Improvement of SAO Activity:

  • Providing regular customer contact information to Sales Administration:
  • Formal entry of new customers to the customer data base.
  • Provide regular updates to customers on deliveries (non system).
  • Work Instructions in One Note are updated.

Education and experience

  • Bachelor's degree or in lieu of a bachelor's degree 4+ years of equivalent work experience.
  • 3+ years of experience working with SAP or a related systems. Oracle system experience is preferred.
  • 2+ years of experience in a sales support or customer support role is strongly preferred.

Role within Office

Responsibilities:

  • Routinely required to sit; walk; talk; hear; use hands to keyboard, finger, handle, and feel; stoop, kneel, crouch, twist, reach, and stretch. Occasionally required to move around the campus.
  • Occasionally lift and/or move up to 20 pounds.
  • May require up to 25% travel in the US and outside of the US, dependent on business needs.
